Overview

Under general supervision assists in the administrative and/or clerical functions associated with obtaining, planning and accounting for materials, components and/or equipment. 

Responsibilities

• Assist in the buying process, calling in orders and helping to manage suppliers as appropriate. 
• Perform related clerical duties as assigned (e.g. filing, mailing quotes and/or responses, faxing purchase orders, negotiate pricing with vendors, etc.). 
• Conduct work utilizing purchase order system (e.g. enterprise resource planning software like SAP, Oracle or TRAC Solutions). 
• Prepare and follow-up on orders to expedite delivery and shipment. Provide update to originator. 
• Develop and maintain necessary records and files for efficient operations. 
• Submit periodic reports on assigned topics to supervisor upon request.
• Possess independence and authority to perform required tasks to ensure all provisions of the quality system are met. 
• Maintains quality service by following organizational standards. 
• Track and monitor chemical orders to ensure that all chemicals coming in to Company facilities are in compliance to SOP and EH&S policies 
• Arrange & coordinate R&D equipment calibration with approved vendors; update calibration database as necessary 
• Manage non-conforming materials. 
• Manage spare parts and repair inventories. 
• Maintain inventory management system for divisional events 
• Ensure reorder points are adequately set, maintained and restocked. 
• Prepares product for shipment by verifying location; directing movement to staging area; resolving problems. 
• Documents actions by completing forms, reports, logs, and records; maintains databases. 
• Package and inspect outgoing kits based on custom orders. 
• Conduct domestic and international packing, shipping, customs remediation as required and tracking for delivery and return of equipment. 
• Conduct parts receipt, inspection and replacement of broken parts. 
• Maintains safe and clean work environment by keeping shelves and work stations neat and organized. 
• Maintains clean shipping supply area, complying with procedures, rules and regulations. 

Qualifications

• Medium work: Exerting up to 30 pounds of force occasionally and/or up to 20 pounds of force constantly to move objects. 
• Must have good verbal and written communication. 
• Must be able to review printed materials with appropriate judgment and quality. 
• Must be able to use common office equipment and be versatile in work (e.g. calculator, PC, telephone, etc.). 
• Must be able to analyze and resolve routine materials issues using independent judgment. 
• Must be able to understand and follow detailed and complex instructions and operating procedures. 
• Must be able to observe and correct minute inconsistencies (e.g. in the printed word, test set up, etc.) 
• Must be able to prioritize work and keep accurate and detailed records.
• Intermediate PC skills (e.g. MS Office Suite preferred) 
• Effective interpersonal communication skills. 
• Effective analytical, time management and administrative (planning/organizing) skills. 
• Effective organizational skills. 
• Effective problem solving skills. 
• Dependable and cooperative ‘team’ attitude
