Overview

Working Hours: Monday - Friday; 8am - 5pm (with some flexibility)
OT: On a case by case basis

 

Scope of Position: This position is in the Sullivan Park Operations Directorate, within the Laboratory Services Management & Engineering (LSME) Department. The primary function of the department is to provide support for R&D activities by providing professional service in project management, infrastructure engineering, and laboratory space management. This position is responsible for supporting the functional groups in the department by facilitating, developing, implementing, and sustaining programs and processes to organize and access data received from a variety of sources. Within the Document Control group, write design standards and base plan drawing updates, including auditing programs to assess documents and data for relevancy and accuracy. Perform a variety of tasks and assignments as determined by supervisor.

Responsibilities

Day to Day Responsibilities: Coordination and facilitating the following focus areas including but not limited to:
1. Safety
a. Responsible for ensuring personal safety
b. Complete all required safety training
c. Comply with all safety requirements
d. Participate and support the department’s safety initiatives

2. Document Control and Support
a. Document turnover drawing to record, system and project drawings
b. SCR support, clean up, submitting, coordination & close out
c. Update and help to coordinate Air Balance Sheets
d. Archive, Auditing & plot or print current & relevant Documents
e. Coordinate with engineers on project drawing requirements
f. Maintain document integrity
g. Other document control tasks not specified above, as assigned by supervisor

3. Project & System Support
a. Coordinate design drawings with Engineers and Project Manager (PM’s)
b. Facilitate Exhaust Inspection Program by documenting system performance testing (i.e. smoke tests, air flow; including Tabware number confirmation, exhaust requirements verification)
c. Support Business Services Division (BSD) and LSME (i.e. Tabware administration, exhaust schematics, Air Balance Sheets, base plans and reports)
d. Manage and update record drawings
e. Provide support and trouble shooting of process infrastructure systems (i.e. exhausts systems, gas cabinets, chilled water, DI water, etc.)
f. Work with vendors and suppliers in support of customer satisfaction
g. Verify and install required labeling for field equipment
h. Support project closeout and commissioning

4. Coordination of Written Processes and Procedures
a. Support the development & maintenance of design standards
b. Drive closure of open action items involving document development and publication
c. Coordinate with Engineers to create guidelines & protocols for SCR’s
Travel Requirements: Conferences or internal customer request as approved by supervisor

Qualifications

Required Education: Associates Degree

Required Years and Area of Experience:
• 3+ years’ experience with Document Control

Required Skills:
• CAD, SolidWorks, and or Revit based skill sets
• Ability to read system drawings (schematics) and architectural drawings
• Competency with MS Office (PowerPoint, Word, Excel & Visio)
• Skilled with share drive, SharePoint and information databases
• Ability to organize, prioritize and complete multiple tasks
• Knowledge of Infrastructure Technology (IT), software; software programming
• Demonstrated history of providing sound judgment and decision making
• Work cross functionally
• Preparation of training materials for presentation and documentation purposes
• Ability to demonstrate and train others in system documentation such as; Standard Operating Procedures (SOPs), Technical specifications, Program/System Documentation, etc.
• Understanding of DARM requirements
